As our next Wholesale Operations Executive, you will be the operational backbone of our wholesale business, ensuring every B2B order is processed flawlessly and delivered on time. You will own the wholesale order journey from initial enquiry through to dispatch, working seamlessly across Sales, Operations, and Finance teams to deliver exceptional service to our growing network of stockists.
💰 Salary: £28-32k + 10% discretionary bonus

What you will be doing 🚀
Wholesale Customer Communication & Support
Manage the wholesale Sales inbox as primary point of contact, triaging and routing enquiries efficiently to ensure fast response times
Support Bronze-tier stockists with pre-sales questions, product information, and order placement guidance to convert enquiries into confirmed orders
Provide proactive delivery date confirmations for all pre-orders from Bronze and Silver stockists, managing customer expectations and ensuring payment collection
Build trusted relationships with stockists through clear, responsive, and professional communication
Wholesale Order Management & Processing
Set up new wholesale customers in ERP systems accurately using Sales team onboarding forms, ensuring all customer data and terms are correctly configured
Process all wholesale orders in our ERP/WMS with meticulous attention to detail, verifying pricing, terms, product availability, and required documentation including works orders
Own the Wholesale Order Book end-to-end, maintaining real-time accuracy and proactive oversight including:
Monitoring stock allocations and ensuring inventory is correctly assigned once purchase orders arrive from suppliers
Managing pro-forma invoice process: requesting payment, coordinating with Accounts to confirm receipt, and following up on outstanding payments
Enforcing payment deadlines rigorously, initiating order cancellations for unpaid invoices after four weeks, and communicating cancellations to Account Managers
Overseeing order readiness, ensuring orders progress to pick/pack stage on schedule without delays
Ensure seamless handoff of orders for picking, packing, and dispatch, maintaining delivery commitments to stockists
Ensure all wholesale orders are labelled and packed according to customer SOPs, and are dispatched in a timely manner
Manage all wholesale returns, consignment orders and SOR orders
Provide comprehensive weekly order status updates to the Sales team via meetings and email, highlighting at-risk orders, delays, stock issues, or priority shipments requiring attention
US wholesale operations
Attend weekly operations meetings with US-based teams to ensure seamless communication and alignment on key business updates, priorities, and action items
Ensure that US trade purchase orders are placed and processed accurately and on schedule in accordance with shared forecasts, ensuring timely inventory replenishment
Support the setup and implementation of new EDI connections with trading partners to enable automated order processing
Manage and maintain all routing information to ensure US customer orders are dispatched correctly and efficiently
Oversee 3PL operations to ensure accurate labeling and timely shipment of all US orders
Monitor and manage pool stock and Available to Sell (ATS) inventory levels at the US 3PL facility and provide regular stock quantity updates to the sales team to support accurate customer commitments and order planning
Sales Operations & Administration
Review new marketplace sign-ups daily, approving applications that align with brand standards and politely declining those that don't
Prepare and update critical sales materials including order forms, price lists, and barcode lists based on updates from Production and Merchandising teams
Support Sales team with vendor form completion, retailer onboarding paperwork, and compliance documentation required by major stockists
Manage stockist sample inventory, coordinating timely dispatch of samples to prospective and existing wholesale partners
Maintain the global stockist map, ensuring accuracy and celebrating our expanding retail presence
Provide general administrative support to enable the Sales team to focus on revenue-generating activities
Who we are looking for 🧳
Experience
2-4 years of experience in operations, order management, wholesale operations, or customer service in a B2B environment
Hands-on experience with ERP or order management systems (NetSuite strongly preferred)
Experience managing order workflows from processing through to dispatch, ensuring on-time delivery
Must-have skills
Exceptional organisational skills with ability to manage multiple orders simultaneously across different customers, delivery dates, and payment terms
Meticulous attention to detail - you catch discrepancies before they become problems and take pride in error-free work
Strong proficiency in Excel for order tracking, reporting, and data management
Excellent written and verbal communication skills with ability to build rapport with both internal teams and external stockists
Problem-solving mindset with ability to identify issues early and take ownership to resolve them
Ability to work under pressure during busy periods while maintaining accuracy and professionalism
Comfortable working with cross-functional teams across Sales, Operations, Finance, and Warehousing
Nice-to-have skills
Experience in wholesale, fashion, accessories, or consumer goods sectors
Knowledge of B2B sales cycles, wholesale terms, and retail buying patterns
Experience with Faire or other wholesale marketplace platforms
